This Privacy Policy explains how we collect, use, disclose, retain and protect personal information when you use our website, client portal, intake forms, communications or services.
It does not control the privacy practices of employers, recruiters, job boards or other third parties that receive information as part of a job application, or that you choose to interact with directly. Their own privacy policies and terms apply to their handling of your information.
Information we collect
Depending on the services you use, we may collect:
Identity and contact information
Your name, email address, phone number, mailing address, date of birth, location and other contact details.
Career and professional information
Your resume, employment history, education, skills, certifications, professional profiles, projects, work samples, career preferences, compensation preferences, work authorization information and other information relevant to your job search. This includes documents you upload, such as resumes, and what you record in the Experience Bank.
Job-search preferences and application information
The types of roles you want, industries, locations, remote-work preferences, salary expectations, sponsorship requirements, application preferences, answers to screening questions and similar information used to identify and apply to suitable opportunities.
Voluntary demographic and EEO information
If you choose to provide it, information requested on employment applications for voluntary self-identification or equal employment opportunity purposes, such as race or ethnicity, gender or sex, disability status or veteran status. We collect and use this only to complete application questions according to the preferences and instructions you give us. We do not infer answers to these questions from other information about you.
You may decline to provide voluntary demographic information. Where an application allows it, you may instruct us to select “prefer not to answer”, leave the question unanswered, or use the response you have provided.
Account and delegated-access information
Where necessary to provide the service, we may receive access permissions, delegated mailbox access, account identifiers, authentication tokens or login information for job-search services or other accounts you authorize us to use. We use this access only for the purposes you authorize. You may revoke access, although doing so may limit our ability to provide some services.
Information about people we contact on your behalf
For outreach services, we may collect the names, job titles, work email addresses and professional profile links of recruiters, hiring managers and other professionals at companies you are applying to, from public sources such as company websites and professional networks. We use this only to contact them about your candidacy, to record whether a message was sent and how it went, and to avoid contacting the same person twice. If you are one of these people and would like us to stop contacting you or to delete your information, email wingman@thejobwingman.com.
Communications and support information
Messages, emails, call notes, feedback, requests, approvals and other communications between you and Job Wingman.

This website
- Consultation form. When you book a consultation, we receive your answers about the roles you are targeting, where your search is and why you are reaching out, your resume if you have one, and anything else you choose to give us, such as your LinkedIn profile, current situation and notes, along with your name and email address. They are saved in our client management system, and your resume is kept in private storage, so we can prepare for your call and follow up with you.
- Booking calendar. After you send the consultation form, the page shows a booking calendar provided by Calendly. Your name and email address are passed to it so you don’t have to type them again. When you book, Calendly processes your booking details under its own privacy policy, and may set its own cookies. The calendar loads only at that step.
- Contact form. When you use our contact form, we receive your name, email address, topic and message. They are sent to our support inbox by email so we can reply. The website itself does not store them.
- No trackers. This website does not use advertising or analytics trackers, and does not set cookies itself.
- Server logs. Our hosting provider processes technical information such as your IP address, browser type and the pages requested, to deliver the website and keep it secure.
- Other Job Wingman sites. Links to the client portal and the Experience Bank take you to other Job Wingman services. This policy applies to them too.

- manage delegated email or job-search account access that you authorize;
- maintain your client account and service history;
- communicate with you about approvals, applications, interviews, support, billing or changes to your service;

- create aggregated or de-identified information that does not reasonably identify you.
We do not use your voluntary EEO or demographic information to decide whether you are qualified for a role, or to decide which roles you should pursue.
Legal bases for processing
Where applicable law requires a legal basis for processing, we may rely on performance of a contract, consent, legal obligations, and legitimate interests where permitted by law and where those interests are not overridden by your rights and interests.
Where we rely on consent, you may withdraw it, subject to legal or contractual limitations and the practical effect of information already submitted to third parties.
Who we share information with
We share personal information only as reasonably necessary for the purposes described in this policy.
Employers, recruiters and job platforms
When you authorize us to conduct your job search, we may submit information to prospective employers, recruiters, applicant tracking systems, job boards and other platforms involved in the application process. Once information is submitted to a third party, that third party may process it under its own privacy policy. Job Wingman cannot control or delete information held independently by an employer, recruiter or job platform.
Authorized Job Wingman personnel and contractors
Authorized Job Wingman personnel and contractors may access client information when necessary to perform assigned services. Access is limited to what is reasonably necessary for their role and is subject to confidentiality and data-security obligations.
Service providers
We use third-party providers for services such as hosting, cloud storage, communications, form processing, analytics, security, payment processing, productivity software, automation and AI-assisted tools. These providers may process information on our behalf in connection with the services they provide to us.
Legal, safety and compliance purposes
We may disclose information where reasonably necessary to comply with law, respond to lawful requests, protect rights or safety, investigate fraud or security issues, or establish, exercise or defend legal claims.
Business transactions
If Job Wingman is involved in a merger, acquisition, financing, restructuring, sale of assets or similar transaction, personal information may be disclosed as part of that transaction, subject to appropriate safeguards and applicable law.
AI and automation
Job Wingman may use software, automation or AI-assisted tools to support parts of the service, such as job matching, drafting, summarization, workflow automation, quality review or organizing information.
Where personal information is processed through a third-party technology provider, that provider may process it on our behalf, subject to its applicable terms, privacy commitments and our arrangements with that provider.
AI-assisted outputs may contain errors. We use human review, client approvals, workflow controls or other safeguards depending on the task. You remain responsible for making sure the factual information you provide about yourself is accurate.
No sale of personal information or targeted advertising
Job Wingman does not sell personal information for money, and does not use client application data to build advertising profiles for third-party targeted advertising. If our practices materially change, we will update this policy and provide any choices required by law.
International data transfers
Job Wingman is operated by Job Wingman LTD in Nigeria and serves clients in other countries. Our personnel and service providers may therefore process personal information in Nigeria, the United States, Canada or other countries where our service providers operate.
Privacy and data-protection laws differ between countries. Where applicable law requires safeguards for international transfers, we take reasonable steps to use an appropriate transfer mechanism or other legally recognized safeguard.
Data retention and deletion
We keep personal information only for as long as reasonably necessary for the purposes it was collected for, including to provide and document your service, keep appropriate business and transaction records, comply with legal or contractual requirements, resolve disputes, enforce agreements, and protect the security and integrity of our services.
Retention periods vary with the type of information, the purpose it is used for and applicable legal requirements. When information is no longer reasonably needed, we delete, anonymize or securely dispose of it, subject to technical and legal limitations. You can ask us to delete your information at any time (see Your privacy rights).
Security
We use reasonable administrative, technical and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration or disclosure. These include access controls, role-based permissions, authentication requirements, confidentiality obligations, security procedures, and restrictions on how client information may be stored or shared.
No system is completely secure, and we cannot guarantee that unauthorized access or disclosure will never occur.
Your privacy rights
Depending on where you live and the law that applies, you may have the right to:
- access the personal information we hold about you, and receive a copy;
- correct information that is inaccurate or incomplete;
- ask us to delete your information;
- restrict or object to certain processing;
- receive your information in a portable format;
- know how your information has been used or disclosed;
- withdraw consent where processing is based on consent;
- appeal certain privacy-request decisions, where applicable; and
- complain to a privacy or data-protection regulator, such as the Nigeria Data Protection Commission.
To make a request, email wingman@thejobwingman.com with “Privacy request” in the subject line, or use our contact form. We may need to verify your identity before completing a request. We will not discriminate against you for exercising a privacy right.
Some rights have exceptions. For example, we may need to keep certain records for legal, security, accounting, dispute-resolution or contractual reasons. Deleting information from Job Wingman does not delete information already submitted to an employer, recruiter, job board or other independent third party.
Withdrawing consent or changing application preferences
You may update your job-search preferences or withdraw a consent you previously gave by contacting us. If you withdraw permission to use voluntary demographic or EEO information, we will stop using it for future applications as far as reasonably practicable. Withdrawal does not undo applications or disclosures completed before we received and implemented your request.
If you revoke access to an email account, job platform or other account, certain Job Wingman services may no longer be possible.
Cookies and similar technologies
This website does not set cookies itself. The booking calendar on the consultation page is provided by Calendly, which may set its own cookies once it loads. Our client portal and other online tools use cookies, local or session storage, or similar technologies where they are necessary for sign-in, security, preferences and basic functionality. Where required by law, we will provide choices about non-essential cookies or tracking technologies.

Our website and services may link to or interact with third-party services, including job boards, employer websites, communication tools and payment providers. We are not responsible for the privacy practices of independent third parties, and you should review their privacy notices where appropriate.
